Number Plate Document Policy

1. Why documents are required

To legally supply replacement number plates, Weston Wheels Refurb Ltd must see and record details from documents proving your identity and your entitlement to use the registration number.

These checks help prevent number plate misuse and protect customers. Number plates cannot be produced until the required documents have been checked.

2. Documents we need

For number plate orders, we need to check two types of documents:

• proof of identity, name or address
• proof of entitlement to the registration number

The identity document does not always need to be in the same name as the entitlement document. For example, you may be buying replacement plates as a gift, provided valid entitlement to the registration is supplied.

3. Proof of identity, name or address

You can use one of the following documents to confirm your name and address:

• driving licence, with or without a photo
• utility bill, Council Tax bill or rates bill from the last 6 months
• bank or building society statement from the last 6 months
• national identity card

Some documents confirm name only, such as a passport, bank card, police warrant card or armed forces identity card. If using one of these, additional proof of address may be required.

4. Proof of entitlement to the registration

You can use one of the following documents to confirm your entitlement to the registration number:

• vehicle registration certificate, V5C or V5CNI
• new keeper supplement, V5C/2 or V5C/2NI
• certificate of entitlement, V750 or V750NI
• retention document, V778
• vehicle tax or SORN renewal reminder, V11 or V11NI
• temporary registration certificate, V379 or V379NI
• number plate authorisation certificate, V948, with an official DVLA or DVSA stamp
• electronic number plate authorisation certificate, eV948, where issued in its original digital form
• a fleet operator authorisation letter, including lease or hire company letters, quoting the registration certificate document reference number
• if your fleet is in the V5C on demand scheme, a PDF of the vehicle details from the view vehicle record service
• UK trailer registration certificate, VTRC

5. Digital documents

Some documents can be accepted digitally when they are supplied in their original digital form, such as a PDF bank statement, utility bill or eV948 certificate.

Screenshots, edited images or documents that appear altered will not be accepted. If we need to inspect a physical original, we will explain this before producing the plates.

6. Visiting the workshop

If you are local to Weston-super-Mare, you can bring your documents to the workshop when ordering or collecting number plates.

Please bring your proof of identity and proof of entitlement to the registration. Orders may be placed online or in person, and payment can be made by the methods available at the time of ordering. Please contact us to confirm collection times before travelling.

7. How we handle document information

We record the document details required for compliance and keep them securely. We do not keep documents for longer than necessary unless required for legal, accounting or compliance reasons.
